HubSpot contact and meeting sync: Caletus + HubSpot
Log every Caletus booking in HubSpot. Caletus creates or updates a contact for each invitee, adds the meeting to their record, and updates it when the time moves or the booking is cancelled.
What Caletus does with HubSpot.
- Creates a HubSpot contact for each new invitee, or updates the name and phone on an existing one
- Logs each booking as a HubSpot meeting linked to the invitee's contact, with start and end times
- Adds the join link, location, invitee time zone and booking form answers to the meeting notes
- Moves the HubSpot meeting to the new time when someone reschedules
- Marks the meeting Canceled, with the reason if one was given, when a booking is cancelled

What Caletus can access in HubSpot
Caletus connects through HubSpot OAuth and asks only to read and write contacts. Access tokens are encrypted before they're stored and are never written to logs. Disconnecting revokes Caletus's access in HubSpot.- oauth (connect to your HubSpot account and renew access in the background)
- crm.objects.contacts.read (find an existing contact by the invitee's email)
- crm.objects.contacts.write (create or update contacts and log meetings on them)
HubSpot limits and quick fixes.
- Caletus syncs contacts and meetings only. It doesn't create or update HubSpot deals or companies.
- Only bookings made after you connect are logged. Earlier bookings aren't copied to HubSpot.
- Cancelled bookings stay in HubSpot, marked Canceled, instead of being deleted.
- Each person connects one HubSpot account per Caletus workspace.
- Caletus turns the connection off when HubSpot refuses to renew access, for example after the app is removed in HubSpot. Click the HubSpot card and sign in with HubSpot again to resume logging.
- The sign-in link only lasts 10 minutes. Close the pop-up, click the HubSpot card and choose 'Sign in with HubSpot' again.
- If HubSpot rejects a contact, for example because the email address is invalid, Caletus skips that contact and still logs the meeting. Check the invitee's email and add them in HubSpot.
HubSpot integration FAQs.
Common questions about using HubSpot with Caletus.
Talk it through with our teamYes. Connect HubSpot from the Integrations page and Caletus logs each booking as a meeting on the invitee's HubSpot contact. If the invitee isn't in HubSpot yet, Caletus creates the contact from their name, email and phone. Reschedules and cancellations update the same meeting.
Caletus keeps the meeting in HubSpot and sets its outcome to Canceled. If the invitee gave a reason, it's added to the meeting notes. Nothing is deleted, so the contact's history stays complete.
No. Caletus searches HubSpot for the invitee's email first. If a contact already exists, Caletus updates its name and phone and links the meeting to it. It only creates a new contact when there's no match.
