Why collective scheduling matters.
Getting three or more busy people into one panel interview or leadership review can take days of checking calendars.
Caletus checks each required host's calendar and only offers times when all of them are free. The guest books one of those times, and every host gets the invite.
How collective scheduling works.
- 1
Add the hosts
Add everyone who needs to be there, like the hiring manager and a peer reviewer. Mark anyone who's nice-to-have as optional. - 2
Caletus finds the overlap
It compares the hosts' availability and existing meetings and keeps only the times they share. - 3
Everyone gets the invite
Once it's booked, every host and the guest get a calendar invite with the meeting link.
Before you start
- Caletus Enterprise plan.
- Every host is an active member of the same Caletus workspace.

What people ask before they set up collective scheduling: how it works, which plan it needs and its limits.
Talk it through with our teamCaletus checks each required host's calendar and availability and only offers times when all of them are free. A time shows up only if every required host has no conflict and it falls inside their working hours. Guests never see a time that suits some hosts but not others.
Yes. Each host connects whichever calendar they use. For example, one host can be on Google Calendar while another uses Outlook. Caletus checks both, so a mixed setup still produces one list of times when everyone on the panel is free.
The person who owns the event is the organizer. Every other host is added to the invite, and everyone in the meeting gets the same time and the same meeting link in their calendar.
Yes. Mark the people who must attend as required and the rest as optional. Caletus finds times that suit the required hosts. You can also choose what happens when there's no shared time, for example falling back to required hosts only or to the next available time.
Yes. Every host must be an active member of your Caletus workspace, because that's how Caletus knows when each of them is free. Collective scheduling and inviting teammates are on the Enterprise plan, which is priced per user.
