Why it matters

Why round robin scheduling matters.

Without it

New leads wait while a manager hands out meetings by hand. By the time someone replies, the lead may have gone cold.

With Caletus

Caletus gives each round robin booking to one teammate for you. Take turns in order, pick whoever has the fewest bookings or the first opening, or set a priority or weight for each person.

How it works

How round robin scheduling works.

  1. 1

    Pick the hosts

Choose who's in the rotation and how meetings are shared: equal turns, least booked, first available, priority or weights.
  2. 2

    Guests book one team link

Guests choose from the team's open times. They don't need to know whose turn it is.
  3. 3

    One host gets the meeting

Caletus assigns the meeting, adds it to that host's calendar and records why they were picked.

Before you start

  • Caletus Enterprise plan. Round robin and inviting teammates are Enterprise features.
  • Each host connects the calendar they work from.
Capabilities

What you can do with round robin scheduling.

  • Five ways to share

Equal turns, least booked, first available, priority or weights you set for each host.
  • Busy hosts are skipped

Caletus checks each host's calendar, so a meeting only goes to someone who's free.
  • Assignment history

Every booking records which host got it and why, so you can check the rotation is fair.
  • Same host on reschedule

When a meeting moves, it stays with the host who was first assigned.

FAQ

Questions about round robin scheduling.

What people ask before they set up round robin scheduling: how it works, which plan it needs and its limits.

Talk it through with our team
  • You choose one of five rules. Equal rotation takes turns in order. Least booked picks the host with the fewest bookings. First available picks whoever has the earliest opening. Priority favors the hosts you rank highest, and weights give some hosts a bigger share, which helps while new hires ramp up.

  • Caletus skips them for that time. It checks each host's connected calendars, so if someone has an internal meeting or a personal appointment, the round robin meeting goes to a teammate who is free instead. Nobody on the team gets double-booked.

  • Yes. Caletus records which host got each round robin booking and the reason they were picked, such as their turn in the rotation or having the fewest bookings. Owners and Admins can check this assignment history to make sure meetings are being shared the way you intended.

  • Round robin is on the Caletus Enterprise plan, which costs $12 per user a month billed yearly, or $16 month to month. Inviting teammates to your workspace is also an Enterprise feature, and you need at least two hosts for a rotation.

  • An Owner or Admin can deactivate a member, and round robin stops giving them new meetings until they're active again. There's no separate away setting, so for a short absence the host can also block the time in their calendar or availability, and Caletus will skip them.

  • Yes. When a round robin meeting is rescheduled, it stays with the host it was first assigned to. Caletus doesn't run the rotation again, so the guest keeps meeting the same person and the team's booking counts stay accurate.
