This Privacy Policy is issued by Coretus Technologies Private Limited (“Caletus”, “We”, “Us”, or “Our”) and explains how we collect, use, disclose, and protect your information when you use Caletus’s scheduling and booking platform, including our website, applications, and services (collectively, the “Services”).

We believe privacy is fundamental, not optional.

• We do not sell your personal data
• We collect only what is necessary to provide our Services
• We use your data to improve your experience, not to monetize it through ads
• You retain ownership and control of your data

This policy explains:

• Who can access it
• Your rights and choices

This Privacy Policy is divided into three parts:

• Part I: Information we collect and control
• Part II: Information we process on your behalf

Part I – Information We Collect and Control

We collect information only when necessary, in three ways:

a. Information You Provide:

This includes:

• Account Information: Name, email address, phone number, company name, timezone
• Booking Data: Appointment details, meeting preferences, availability
• Payments: Billing details (processed securely via third-party providers; we do not store full card details)
• Support Requests: Information shared during customer support interactions
• Forms & Submissions: Newsletter signups, event registrations, surveys

b. Information Collected Automatically:

When you use Caletus, we may collect:

• Device and browser information
• IP address and approximate location
• Usage data (clicks, features used, session duration)
• Log data (access time, errors, performance metrics)

We use cookies and similar technologies to:

• Enhance user experience
• Remember preferences
• Analyze usage patterns

c. Information from Third Parties:

We may receive data from:

• Authentication providers (e.g., Google login)
• Integration tools (e.g., calendar platforms)
• Referral partners or resellers
• Public platforms (e.g., social media interactions)

We use your information to:

• Provide and maintain the Services
• Manage bookings and scheduling workflows
• Communicate with you (updates, support, notifications)
• Improve product performance and user experience
• Detect and prevent fraud or misuse
• Comply with legal obligations

We do not use your data for third-party advertising.

Depending on your location, we process data based on:

• Your consent
• Contractual necessity (to provide Services)

• Disable cookies via browser settings

Note: Some features may not function properly if certain data is restricted.

We do not sell your personal data.

Part II – Information We Process on Your Behalf

When you use Caletus, you may store or process data such as:

• Customer booking details
• Contact information
• Calendar data

This is referred to as “Service Data.”

You retain full ownership of your Service Data.

We:

• Process it only based on your instructions
• Do not access it unnecessarily
• Do not use it for marketing

You can:

• Access
• Export
• Delete your data at any time

We process Service Data to:

• Enable scheduling and booking
• Sync calendars and integrations
• Provide analytics and insights
• Offer customer support

We may share Service Data with:

• Infrastructure providers (hosting, storage)
• Integration partners (when enabled by you)
• Employees (only for support or technical resolution)

All access is controlled, logged, and secured.

• Data is retained as long as your account is active

Upon termination:

• Data is deleted from active systems within a reasonable period
• Backup data is deleted thereafter

Part III – General

We implement appropriate:

• Technical safeguards
• Administrative controls
• Security measures

to protect your data from unauthorized access, loss, or misuse.

Caletus is not intended for individuals under the age of 16.

We do not knowingly collect data from children.

Your data may be processed in locations where we or our service providers operate.

We ensure appropriate safeguards for such transfers.

Our platform may contain links to third-party websites.

We are not responsible for their privacy practices.

We may disclose information if required to:

• Comply with legal obligations
• Prevent fraud or abuse
• Protect users and platform integrity

In the event of:

• Merger
• Acquisition
• Sale

your data may be transferred, with continued protection under this policy.

If you connect a Google account, Caletus only accesses the Google data needed for the features you turn on:

• Google sign-in: your name, email address and profile picture, to create your account and sign you in.
• Google Calendar: your calendars and events, to check when you're busy and to create, update and delete the events Caletus makes for your bookings, including Google Meet links when you choose Google Meet.
• Gmail: permission to send email from your Gmail address, if you connect Gmail. Caletus doesn't read your email.

Caletus's use and transfer to any other app of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.

We don't use Google user data for advertising, we don't sell it, and we don't use it to train general-purpose AI models. People at Caletus don't read it unless you ask us to for support, it's needed for security or the law requires it.

You can disconnect Google at any time from Integrations in Caletus, or remove Caletus's access in your Google Account's security settings.

If you connect Zoom, Caletus uses the connection only to identify your Zoom account and to create, update or delete Zoom meetings for events you manage in Caletus.

To keep the connection working, Caletus stores the OAuth credentials, token expiry information, the connected email address, your Zoom user ID and account ID, and the scopes you granted.

Caletus doesn't use the Zoom integration to access your Zoom chat messages or Zoom meeting recordings.

When you disconnect Zoom in Caletus, we delete the stored connection. To fully revoke access, also remove Caletus from Added Apps in the Zoom App Marketplace.

Caletus video rooms run in the browser. Guests can join from a meeting link without a Caletus account.

A meeting is only recorded, transcribed or summarized when the host turns it on for that meeting. Hosts are responsible for telling participants and getting any consent the law requires before recording.

To create transcripts and AI meeting notes, the meeting audio is processed by third-party speech-to-text and AI language model service providers acting on our behalf. They may only use it to provide that service to Caletus.

Recordings, transcripts and AI notes are stored in your workspace as Service Data (see Part II). You can delete them, and they're deleted with your account.

We may update this Privacy Policy periodically.

For significant changes:

• We will notify you via email or platform notification
• Continued use of the Services indicates acceptance.
