A good reschedule meeting email names the meeting that's moving, says sorry briefly and gives the other person an easy way to pick a new time. You don't need a long explanation. Below are eight templates for clients and candidates, including last-minute changes and meetings across time zones.
1. Reschedule meeting email template: plenty of notice
When to use it: you can offer new times well before the meeting.
Subject: Can we move our [Meeting name] on [Original date]?
Hi [Client first name],
Could we move our [Duration]-minute meeting on [Original date] at [Original time and time zone]? [One short, honest reason.] Sorry for the change. Would either of these work?
- [Option one: day, date, time and time zone]
- [Option two: day, date, time and time zone]
If neither suits you, pick another time here: [Rescheduling link]. I'll confirm as soon as it's booked.
Thanks, [Your name]
2. Client meeting: a last-minute meeting change
When to use it: the meeting is soon and you can't make it. Make sure the client doesn't join at the old time.
Subject: Short notice: can we move [Meeting name] at [Original time]?
Hi [Client first name],
I'm sorry, but [short, honest reason] means I can't make our meeting on [Original date] at [Original time and time zone]. I know this is short notice.
Please don't join at the original time. Could we meet at [Proposed date, time and time zone] instead? Or pick any time that suits you here: [Rescheduling link].
If the link doesn't work, reach me at [Monitored contact]. I'll confirm the new time as soon as it's booked.
Apologies again, [Your name]
3. Reschedule interview email from the recruiter
When to use it: the hiring team needs to move the interview. Make it clear the change is on your side.
Subject: Rescheduling your [Role title] interview
Hi [Candidate first name],
We need to move your interview on [Original date] at [Original time and time zone] because [short, honest reason]. I'm sorry for the disruption to your plans.
Would either of these work? Both are in [Time zone], and the interview will still take [Duration] minutes.
- [Option one: day, date and time]
- [Option two: day, date and time]
You can also choose a time here: [Rescheduling link]. If none of these work, contact [Recruiter contact] and we'll find another option. Once it's booked, I'll send the updated joining details.
Thank you for your flexibility, [Recruiter name]
4. Candidate asking to move an interview
When to use it: you're the candidate and need a new time. Keep personal details out of it.
Subject: Request for a new interview time: [Your name], [Role title]
Hi [Recruiter name],
Thank you for arranging my interview for the [Role title] role. Unfortunately, I can no longer make [Original date] at [Original time and time zone]. [Short reason, if you'd like to give one.]
I'm available at [Option one] or [Option two], both in [Time zone]. I'm also happy to choose a new time with the reschedule link in my invitation.
I'm still very interested in the role. Please let me know what works best for the team.
Best regards, [Your name]
5. Moved more than once: offer a fresh start
When to use it: the meeting has already moved a few times. Keep it free of blame and pressure.
Subject: Finding a time that works for [Meeting name]
Hi [Recipient first name],
We've moved [Meeting name] a few times now, so I'd like to find a time that really works for both of us.
It's currently booked for [Current date, time and time zone]. Would you like to keep that, choose another time at [Rescheduling link], or pause until your schedule is clearer?
Just reply with what you'd prefer. I won't book anything new until I hear from you.
Thanks, [Your name]
6. International meeting: show both local times
When to use it: you're in different time zones. Check both times for the exact date, especially near a daylight saving change.
Subject: New time for [Meeting name]: [Proposed date]
Hi [Recipient first name],
Could we move our meeting from [Original date, time and time zone] to this new time?
- Your time: [Recipient's day, date, time and time zone]
- My time: [Your day, date, time and time zone]
- Length: [Duration] minutes
If that works, just reply to confirm. If not, choose another time here: [Rescheduling link]. I'll check the updated calendar invite once it's done.
Thank you, [Your name]
7. Paid consultation: moving the session
When to use it: you need to move a paid session. Don't promise a credit or refund until you've checked.
Subject: Moving your [Session name]: [Booking reference]
Hi [Client first name],
I need to move your consultation on [Original date] at [Original time and time zone]. I'm sorry for the change.
Would [Proposed date, time and time zone] work? You can also pick a time at [Rescheduling link], or email [Monitored contact] if you'd like help.
Please don't pay again. I'll confirm how your existing payment applies under our terms at [Policy link] before any further charge or refund.
Thank you, [Host name]
8. Confirm the rescheduled meeting
When to use it: only after the new time is agreed and the booking is updated.
Subject: Updated: [Meeting name] is now on [New date]
Hi [Recipient first name],
Thanks for being flexible. Our meeting is now booked for:
- Date: [New date]
- Time: [New start time] to [New end time] [Time zone]
- Join: [Current joining link or address]
This replaces our meeting on [Original date] at [Original time and time zone]. Please check that your calendar shows the new time.
Need another change? Use [Rescheduling link] or email [Monitored contact].
Thanks, [Your name]
Keep the reason short and honest
One honest sentence is enough, such as “A client workshop has run over” or “I'm unwell today.” Never invent an emergency. Say sorry once, then spend your words helping the other person pick a new time.
For short-notice changes, don't count on the email being read in time. If you've agreed another way to reach each other, like a phone number, use it too. And say clearly whether the original time is still on or off.
Reschedule the original booking instead of making a new one
Caletus offers self-service rescheduling and cancellation, and Caletus meeting management handles the updates when a booking changes.[1][2]
Always start from the original booking or its confirmation email. A general booking-page link creates a second booking, which can leave the old one active with its own reminders. Then work through these steps:
- Find the original booking and check who it's with.
- Use its reschedule option to pick the new time.
- Check that the new time works for every required host and attendee.
- Make sure the old time is no longer active and the new one replaces it.
- Check the updated calendar invite, joining details and upcoming reminders.
- For paid sessions, check separately that the payment is still linked to the booking.
International meeting rescheduling: check the date too
Use full dates and named time zones when you offer new times. Google Calendar can show an event in each person's local time zone, so the local hour can differ while the meeting is the same. Work out each proposed date fresh rather than reusing an old time difference. Here are more tips on scheduling meetings across time zones.[3]
That's why template 6 shows both local dates. One person's evening can be the other's next morning. Double-check any time that falls near a daylight saving change.
Finish with one confirmed booking
If a duplicate booking slips through, cancel it in your booking tool rather than deleting calendar events by hand, so the history stays clear. Check which booking is the real one before you tell the client which invite to use.
A reschedule is finished once everyone knows the new plan: a confirmed date, a working joining link and no leftover duplicate. To cut down on missed meetings next time, see how to reduce consultation no-shows.
Reschedule meeting email FAQs
How do I politely ask to reschedule a meeting?
Ask rather than announce. Name the meeting, give a short reason, say sorry once and offer two specific new times or a reschedule link. For example: “Could we move Thursday's 2 pm call? Would Friday at 10 am or 3 pm work?” Then confirm the new time once it's booked.Do I need to give a detailed reason for rescheduling?
No. A short, honest reason is enough, such as a clash you can't move or someone being unwell. Skip private details and never invent an excuse. Spend your words on the next step instead: the new times you can offer or the link to pick one.Should I make a new booking to move a meeting?
No. Use the reschedule option on the original booking instead. A separate new booking can leave two meetings active, with reminders and payment records attached to the wrong one. Rescheduling keeps one booking, updates everyone's calendar invite and keeps its history in one place. When a paid consultation is moved, does the payment move with it?
Don't assume it does, or that it's refunded. Check that the payment is still linked to the rescheduled booking and what your terms say about changes. Then tell the client exactly what happens to their payment, and make sure they're never charged twice for the same session.- reschedule meeting email template
