What should an appointment reminder email include?

An appointment reminder email should include the meeting name, the full date, the start time with a named time zone, the length, the joining link and a way to reschedule. Add only the preparation that matters at that point. Send reminders that match the booking's current status, and check each placeholder before you turn on automation.

Good appointment reminder email templates save people from digging through their inbox. Each one below gives the date, time and time zone, the joining link and an easy way to reschedule. There are nine in all, three each for consultations, interviews and sales demos. For each, you get a day-before reminder, a same-day reminder and a quick joining nudge.

NoteWords in square brackets are placeholders for you to fill in. Pick two or three reminders for each meeting type. Nobody should get all nine.

If you can, bring [one item, such as last month's numbers or your top question]. No slides needed, and please don't email me sensitive documents.

Trouble joining? Contact me at [Monitored contact]. Can't make it after all? Use [Rescheduling link], or let me know if it has closed, so you don't end up with two bookings.

See you shortly, [Host name]

Appointment reminder subject lines: what to include

Put the day, the time and the meeting in the subject line, so people get the key facts without opening the email. Keep it short enough that a phone doesn't cut it off. For example:

  • Tomorrow at 2:00 pm ET: your tax planning review
  • Today's product designer interview: time and joining link
  • Starting soon: your link for the onboarding demo

How to personalize these reminder templates

Swap the topic for something the person actually told you. Delete prep requests they don't need. Use a host name people recognize and a contact address someone reads. Don't write “reply to this email” if replies go to an unmonitored inbox.

Always give the full date, the start time and a named time zone, like “Wednesday, October 14, 2:00 pm Eastern Time.” For guests abroad, say whose time you're showing. Google Calendar can show the same event in each person's local time zone, so two different clock times can still be the same meeting. Here's more on scheduling meetings across time zones.[1]

PlaceholderCheck that it
[Joining link]Opens the meeting itself, not your host settings page.
[Rescheduling link]Changes this booking instead of opening a blank booking page.
[Time zone]Matches the date and time shown, including daylight saving changes.
[Agreed topic]Comes from what the person entered when booking, not a guess.
[Monitored contact]Reaches someone who can help with access or changes.

Use these templates with Caletus reminders

Caletus sends email confirmations and workflow reminders, plus text (SMS) reminders on the Professional and Enterprise plans. Open the reminder settings for one event to see which fields and timings you can edit. See Caletus reminders and follow-ups for the details.[2]

If the editor has a field picker, map each placeholder to the matching field. If a placeholder has no matching field, type the text in for that event or send that message by hand.

Set up one meeting type first and test it with your own inbox. Check three cases. A same-day booking shouldn't trigger every reminder at once. A cancelled booking shouldn't get a joining reminder. And a rescheduled booking shouldn't get a reminder for the old time.

Plan for missing details. If there's no prep, delete that sentence instead of sending an empty field. If the name is missing, a plain “Hi there” works. A missing joining link is different: stop the email and fix the booking first. And keep private reschedule links out of group emails.

Make every reminder work on its own

Each email should make sense even if the person never saw the one before. Keep the date, time zone, length, joining link and reschedule option together. Skip attachments people don't need to attend, and never bury the link under a sales pitch.

Before you send, search the finished email for leftover brackets, empty links and dates that don't match. Check it on a phone as well as a laptop. Then read it as the guest: the next step should be obvious, and they shouldn't need to reply unless something has changed. If people still miss meetings, here's how to reduce consultation no-shows.

Appointment reminder email templates FAQs

Should I send all nine reminder emails to every guest? No. The nine templates cover three kinds of meetings, with three reminders each, so pick the three that fit your meeting type. For most meetings, a preparation reminder and a short joining reminder are enough. Add the same-day logistics email when there's something guests need to check first.
Are the square-bracket placeholders Caletus merge tags? No. They're writing placeholders, like [Meeting date] or [Joining link], for you to replace. Before automating, match each one to the real field in your email editor, then send yourself a test to check the finished email shows the right name, time, time zone and link.
Should guests have to reply to confirm they're coming? Not by default. Asking for a reply adds work for guests and for you. Instead, give a monitored address for questions and an easy reschedule or cancel link. Only ask people to reply if you actually track the replies and do something with them, such as releasing the slot.
